  • Poster tour: working on converting the "open" tour to a ...hybrid format, ensuring some allocated time for actual presentation. Hold 2 parallel sessions per coffee break, fewer posters per session to allow for caffeine re-fuelling as well!

State of affairs-update
-Online TS-school cancelled, January clinical consultations cancelled.
-Neupulse confirmed Bronze sponsorship (awaiting reply, after ESSTS counter-suggesting the 2nd representative be registered as a regular attendee instead of "free pass"  for a 3rd time.
-TTAG "miscommunication" resolved: 4-hour morning session, 9am-1pm in the auditorium.
Discuss
  • FTLBs on TV; discussion regarding response/common action with other groups & professionals
  • Emalex-George Karkanias email items; review their 4 items & decide how to proceed
    Practical/technical input by Anna:
    -Eating inside the conference hall (in contrast to the auditorium) is allowed, should you accept to hold the 1/2 hour presentation of their data (item 1) during one of the two lunch breaks. On Friday more specifically, we can even extend it by 15'. Emalex will have to cover the cost of the room rental.
    -We might have up to 1-hour slot available (auditorium) on Wednesday afternoon, before the opening ceremony for item 2 and/or item 1.
    NOTE: We offered this extra hour to TTAG (to consider) in addition to their 4-hour morning meeting, in the name of keeping things harmonious after the recent miscommunication on rooms & slots
  • Neurodiversity session: finalise format. Paul Stevenson is confirmed. TTAG suggested Agnieszka Malek. (Are we waiving fees?)
    -Do we conduct 1 talk + then simple discussion, or are we doing a clear yes/no approach plus survey? Other format suggestions?
  • Athens TS-school 2025: If you are still OK with a talk on ADHD being included, how do we structure the programme? Preliminary presentation breakdown? See Varese edition
  • Travel allowance reimbursement & transferring registrations: Anna to share details on Christos Ganos and Tamara
  • ESSTS 2026: Regarding Iceland, follow up email sent & detailed brief, awaiting answer. Portugal, Slovenia, Austria to check. (Anna to pick up the pace!!)
  • Newsletter Feb: Membership renewal/€ support message + "open call" for 2026 (plus conference-related, webinars, podcasts)
  • CME credits application: Are we applying again? If yes, Nanette & Anna will dive in.
  • TTAG-ESSTS Zoom Jan: TTAG suggested that a TTAG representative be included in the ESSTS board, as an "advisor" for example and vice versa. Thoughts?

TTAG meeting
There has been a misunderstanding regarding the time options and "non-overlapping" slots suggested by Nanette (October Zoom call with TTAG and emails that followed).
We have planned logistically for a 2-hour TTAG session on Wed 21.05 at 11-13:00.
They wish to have their original 4-hour duration.
As it stands:
-BT beginners workshop 9-12. (conference hall)
-TTAG meeting, 11-13 (auditorium)
-BT advanced: 14-17. (conference hall)
-Perry's talk 14:30-15:15  (auditorium)
-Perry's EMIGMA meeting, 15:30-16:30 (auditorium)
Let's be proactive: there is no 2-hour slot left in the afternoon, how do we proceed practically??
Ideas & suggestions to be discussed!
TS-school: online 5 FEB
- Confirm definitive programme and topic per speaker.
- Fix deadline to send presentation-recordings to Anna.
Conference 2026: host city candidates
- Iceland (Reykjavik Convention Bureau) has been contacted, awaiting reply.
- Shall we submit an enquiry ..."just to test the €€ waters" for other small, reachable via direct flight, "TS-underrepresented" countries (ESSTS overtaking most of/the full organisational part), Austria, Portugal, Slovenia, Estonia?

ND Session: update on speakers/how to proceed?
- Exact session title? Adjustments?
ENIGMA talk & "internal" meeting details:
- Reach out to Perry to enquire about her talk's title and talk & internal meeting time slots. Consider i.e. 14:15 for her talk and 15:00 for the ENIGMA meeting? Suggestions?
ADHD session
- Are we officially dropping the "Pathophysiology" 20'-slot? It's been in...TBA limbo, but there's no real time available anymore, unless Q&A/dscussion time is chopped?
Mary Robertson travel grants
- For now we have announced 4 (vs 3 in Varese). Mary mentioned last summer that she intends to fund 5 TG to make up for the fact that she has not been renewing her membership. Shall we increase the TG number progressively, or go for 5 straight away?
To keep in mind that in addition to the €350 per winner (which is what she is covering) we are also waiving/reimbursing registration fees and thus covering the cost for coffee/lunch breaks.
- Application criteria: what about previous MRTG winners? When are they eligible to apply again? Or...never, as in "one off"?
BT workshops as independent events (local professionals)
- Registration rate per workshop? (€70 in Lausanne, Brussels and Varese for the 3-hour workshop –French/Italian–.)
- Registration rate per "package" of 2?
Virtual format
- When do we "officially" announce?
- Will the recordings be made available online after the conference to specific users, i.e. registered attendees?

Conference 2026: host city? (...increasingly urgent!)
- Is the Bergen team still interested? Possible to put together a financially viable offer? (Nanette has an established communication channel with Heike Eichele)
- Consider other small, "TS-underrepresented" countries (ESSTS overtaking most of/the full organisational part), Austria, Portugal, Slovenia?
- If Iceland (Reykjavik Convention Bureau) were to offer support and reduced venue hire rates as suggested when they reached out to us 3+ years ago, would that be a destination to consider? (US distance-friendly)
They have a rather active patient association and there were 4 professionals from Iceland who attended the Brussels meeting.

We spoke at ESSTS in June about setting up monthly consultations with a psychologist (all 6 of us copied in are keen/available) and a medical colleague to run monthly consultation sessions for clinical work and/or research work to international delegates.
We see this as a strategy to raise funds for ESSTS exclusively.
If the Board are still keen on taking this forward, then we might need to think about some practical elements:
-Which medical facilitators might join each of the sessions
-Duration and time of sessions (e.g. evenings)Write an advert for the website sharing the purpose of the sessions and indicating that facilitators cannot accept any responsibility for the discussions or information given.
-How payment could be made and costs per participant (by visa card via the website).
-Number of attendees (max of 12 in each session)?
-When to start (e.g. October / November 2024?)
I'm sure that there are lots of other questions that will come to mind that we can discuss and this might be best done with the facilitators together although practically it might be difficult to find a common time.
